Have your calendar open and ready — proposing times without checking availability signals disorganization. Confirm the meeting in writing (email) within the same day with date, time, location, and agenda points.

「ご都合はいかがでしょうか」is the standard Japanese scheduling phrase — more deferential than 'Are you free?' It puts scheduling control in the other party's hands, which is polite in Japanese business. Always propose 2-3 options after this opener: 「月曜か火曜の午前中はいかがでしょうか」.
