Approach your superior's desk or office entrance calmly. Do not gesture to the topic before being given permission. Once invited, take a seat only if offered — otherwise remain standing. State the issue clearly and concisely.
In Japanese workplaces, 'soudan' (consultation) completes the hourenso triad (report-contact-consult). Consulting before acting on an uncertain situation is expected and valued. Going ahead without consulting — even successfully — is often criticized as acting alone (ippou-teki).
