Gesture & etiquette
Make brief, natural eye contact with the family member; speak in a calm, warm tone — not overly clinical; if meeting in person, bow slightly at the start and end of the update; offer a brief, specific detail (what they enjoyed eating, an activity they liked) to make the report feel personal.
Japanese families deeply appreciate regular, positive updates about their relative's condition. Using the honorific 'いらっしゃいます' (instead of plain います) shows respect for the senior and their family, which strengthens trust and cooperation between caregiver and family.
