Schedule this debrief meeting proactively — do not wait to be asked. Come with a written report document or clear notes. Present the key outcomes first (bottom-line-up-front), then the detail. If any issues arose, report them neutrally and with proposed solutions ready. Offer the written report for the superior's files after the verbal debrief.
Business trip reports ('shutchou houkoku') should be submitted promptly after returning — within the same day or the next morning. The structure should be: who you met, what was discussed, what was agreed, and what next actions are needed. 'Gouei ni itarimashita' (we reached agreement) is the formal reporting phrase for successful negotiation outcomes.
