Gesture & etiquette
Approach calmly with the report ready. Speak with measured tone — relief, not triumph. Have the preventive measures document attached. After the verbal report, follow up with the written version within the day.
Closing reports for complaints should include both resolution status AND preventive measures — this is the standard Japanese 'PDCA' closure format. 'Buji ni kaiketsu' (resolved without further issue) reassures. 'Saihatsu boushi-saku' (preventive measures) demonstrates organizational learning. Senior managers appreciate when reports already include the 'what we'll do differently next time' element rather than waiting to be asked.
