Gesture & etiquette

(Phone) Write down the caller's name, company, and phone number as you speak. Confirm by reading back: 'Onamae wa [name]-sama de yoroshii deshou ka?' Thank the caller and close with 'Shitsurei itashimasu.'

Never say someone is 'not here' (imasen) — this can imply they are avoiding the call. 'Seki o hazushite orimasu' (stepped away from the desk) is the standard polite phrase. Always confirm the caller's name and number before ending the call.
