Gesture & etiquette
Cover the mouthpiece or place on hold before briefing the colleague. Speak the context quickly: '○○様から○○の件でお電話です' ([Name] is calling about [topic]). Return to the caller to confirm the transfer if there is any delay.
When transferring a call, always brief the colleague on the caller's name, company, and purpose before connecting — never make the caller repeat everything. Announce the transfer clearly rather than silently connecting. If transfer takes over 1 minute, return and apologize.
