Gesture & etiquette

Note down the caller's name and number before ending the call. Ask for a preferred callback time: '何時頃がよろしいでしょうか?' (Around what time would be convenient?). Confirm: '○時頃にお電話いたします' (I'll call around ○ o'clock).

折り返し' means 'return call' — always used for calling back promptly. Ask for a preferred call-back time if unclear. When you call back, open with: 'お待たせいたしました。先ほどのご件について...' (Thank you for waiting. Regarding the matter from earlier...). Always call back within the promised timeframe.
