Gesture & etiquette

Have pen and notepad ready before answering the phone; write caller's name, company, time of call, and message; read the message back before hanging up; deliver the note promptly to the intended person.

承る' (uketamawaru) is the ultra-formal humble verb for receiving information — stronger than the plain 'もらう' or polite 'いただく'. After taking the message, always read it back to confirm: 'では、○○様より○○のご用件、確かに承りました。' Accuracy is paramount; never guess at unclear names — ask for spelling.
