Gesture & etiquette

Keep the mute or hold button pressed before speaking to colleagues — do not let callers hear internal conversation. Return to the caller quickly and re-greet them with 「お待たせいたしました」.

「少々お待ちいただけますでしょうか」is more polite than 「お待ちください」— the double-humble form shows maximum respect. Always confirm the caller's name before transferring and relay it to the receiving colleague to avoid the caller repeating themselves.
