Gesture & etiquette
Phone — no gesture but warm tone (audible smile). Pick up the transfer line, deliver phrase within 2 seconds, give the caller a moment to respond. Take notes throughout the call.
Standard phrase when receiving a transferred phone call. Say it within the first 2 seconds of taking over. Always self-identify with your name. Skip company name if the caller is already known to be talking with your company (already established by reception). The caller usually responds with 'お世話になっております' — wait for it, then proceed with the conversation.
