Gesture & etiquette
If addressing across the room, speak clearly but not loudly—office decorum matters. If the recipient is on another call, hold up the receiver mouthpiece, cover it with your hand, and mouth the caller's name silently to avoid disturbing them.
Phone-handover template: addressee + 「さん」, then caller's company + 「の」 + caller's name + 「様」, finally 「お電話です」. 「様」 is used for outside callers regardless of rank. Always state the company first so the recipient can mentally prepare their context. Never skip the company name even if the caller is well-known.
