Gesture & etiquette
On phone/video call, have a world clock visible (laptop, phone). Speak slowly, repeat the converted time back to confirm: 「ご確認ですが、そちらの夜九時、こちらの朝十時ですね」. Follow up email immediately with calendar invite using both timezones.
International meeting time coordination. Always specify timezone explicitly to avoid confusion. 「~ですと、~になりますでしょうか」 is polite conditional inquiry. For ongoing client relationships in different timezones, propose 2-3 time options rather than asking open-ended. Always confirm in writing afterward with both timezones noted.
