Give this announcement while they are settled and calm — not rushing in at the last minute. Explain what the examination involves in simple terms if they seem uncertain: 「〇〇を確認するための検査ですよ」(It's to check on [X]).
Announcing appointments ahead of time — not at the last moment — reduces anxiety and gives seniors time to mentally prepare. 「〜ましょうね」is a gentle, inclusive suggestion (let's...) rather than a directive. The particle 「ね」at the end seeks gentle agreement and creates a sense of partnership.
