Gesture & etiquette

This phrase is used in written email communication. Always attach the minutes document as a PDF rather than in the email body itself for formal client correspondence. Send within the same business day when possible. If sending to a client, have a senior colleague review the minutes before sending.

Sending meeting minutes promptly (ideally within 24 hours) is a sign of professionalism in Japan. The email opener 'senjitsu wa...' (the other day...) elegantly connects this email to the previous meeting. Minutes in Japan typically include decisions, action items, responsible parties, and deadlines — all agreed items should be explicitly stated.
