Gesture & etiquette
Email-only. Send at least 2-3 business days in advance for non-recurring meetings. Subject line: '【会議招集】◯月◯日 定例会議のご案内'. Always include calendar invite alongside the email if your tool supports it. Confirm attendance promptly.
Meeting invitation emails include: subject (date and topic), 'kaki no toori' (as outlined below), date/time/location, agenda summary, and 'goshusseki no hodo' (please attend) closing. 'No hodo' is the polite softener common in business emails. If pre-reading is required, attach it with a note like 'jizen ni gokakunin itadakereba saiwai desu' (we'd appreciate prior review).
